Divisions of BEE Mentorship programme
Our main responsibility is to guarantee that all our students feel comfortable and enjoy their stay in Hungary. Other responsibilities are as follows:
- Assembling the agenda before orientation week.
- Welcoming newcomers by setting up Team Calls (for the ones in their home country) and face-to-face meetings with the rest of the students.
- Organizing friendly workshops regarding cultural shock, adapting to the new environment, and prepared ice-breaking games to get to know each other more.
- Advising students on where to address questions, how they feel as freshmen/exchange students.
- Provide students with a map of the faculty(for buildings A, B, etc.) and help them get more familiar with it and how to find their classes.
- Walking all the students through the Neptun and Coospace processes and guiding them on how to check their marks, register for a subject, and how to check the online school materials.
- Help newcomers to get the school's email address and set up their O365 (Microsoft Teams, etc.).
- Help them use Hungarian phone numbers.
- Help students get transportation passes + BKK application.
- Collecting all the students' contact details
- Reporting to the division leader all the students' details
- Being present at weekly division meetings
- Being able to work voluntarily for 6-8 hours per week.
Mid-semester Activities Division
The Mid-semester Activities division is responsible for the organizing of cultural and social events for the international students in our faculty. The purpose of our work is for students to learn more about Hungarian culture while socializing with other Stipendium or Erasmus students of our faculty.
The processes done by mentors in our division are:
- Planning, budgeting, and marketing of university events.
- Events should have a minimum of 10 attendees and should cover one of the following topics: Hungarian culture, tradition, and history, and intercultural sociability and relaxation.
- Work in coordination with the Student Office to advertise upcoming events through social media, e-mail, or Neptun.
- Track and organize event expenses in Excel form, to later present the plan to the faculty's Finance department.
- Being able to independently handle the organizing and execution of your very own event, while receiving guidance support from other mentors.
- Attending weekly meetings, collaborating with multiple mentors, and meeting deadlines.
- Create interesting and engaging content in our program's social media profiles.
- Being available to work voluntarily for 6-8 hours per week.
The Documentation and Emergency Division
The Documentation and Emergency division is responsible for contacting international students before arrival and guiding them through the administration and emergency issues when they are in Hungary. This is a very important division with two main purposes: to guide students with obtaining necessary documents for staying in Hungary and to help in times of emergency.
The following is the list of processes we handle:
- Reaching out to international students before they arrive in Hungary and make sure they have all the necessary documents.
- Guiding the students/mentees through each process of obtaining necessary documents after they arrive in Hungary.
- Leading groups of students to governmental offices/banks/etc.
- Making sure that every student always has their valid legal documents.
- Being on standby in cases of emergency (e.g., a student needs emergency medical care, or is lost in the city, etc.)
- Reporting to the division leader on all the activities the mentors participate in
- Being present at weekly division meetings
- Being able to work voluntarily for 6-8 hours per week.
